Policies and procedures is the policy library of NextHealth Flow, part of Flow Quality. A facility adds its policies from templates grouped as regulatory, ADHICS, JAWDA and accreditation policies, each with an issue date, a next review date and an expiry date. A policy is prepared by the facility's responsible person, then reviewed and approved by the people assigned to it, each signing at their stage, and staff raise change requests that are approved or rejected.

Why it is hard to do well

A policy nobody reviews becomes a finding waiting to happen

A policy library with an owner for every policy

Policies drift out of date when nobody owns them. In Flow, a facility adds each policy from a template, gives it an issue date, a next review date and an expiry date, and assigns who reviews it and who approves it.

Prepared, reviewed, approved

The responsible person prepares the policy. The reviewer and then the approver find it in their own queue, and each signs when they complete their stage. Only then does the policy join the facility's library.

Change requests from the people who use it

When a policy no longer matches practice, staff raise a change request against it. The request is approved or rejected, and the policy keeps its change log.

Dates you can see

Next review and expiry dates appear on the Flow calendar, and every approved policy can be exported as a PDF that carries its approvals.
