Document hub

NextHealth Flow

Sold on its own, or with Flow Quality

Document hub is where NextHealth Flow keeps a facility's regulatory documents, commercial documents, outside contracts, owner documents and service price lists. Each document has an issue date, an expiry date where it has one, and a version history, and the hub shows what is expiring soon, expired or waiting for a signature. Documents are signed by staff, or by outside signers through a secure link confirmed with a one-time code, and every action is logged.

What it covers

  • Regulatory, commercial and contract documents in one hub
  • Versions and recorded revision reviews
  • Expiring soon and expired at a glance
  • E-signature by staff and outside signers
  • One-time code on every outside signing link
  • Expiry and revision reminders
Why it is hard to do well

Licences lapse quietly unless something is watching the dates

Every licence and contract in one place

A facility runs on documents with dates on them: the health licence, the commercial licence, the civil defence approval, the waste and laboratory contracts, insurance and price lists. Flow keeps them together, each with its type, its dates and its history.

Nothing runs out unnoticed

The hub shows which documents are expiring soon, which have expired and which are waiting for a signature. Reminders go to the people the facility chooses before a document needs review or lapses.

Revised, not replaced

When a document is reviewed, the review is recorded. When it changes, the new file becomes current and the old one stays in the version history.

Signed inside and outside

Staff sign documents in Flow. An outside party, such as a contractor or a landlord, signs through a link confirmed with a one-time code, and the signature is kept with the document.

Questions we get asked

On its own. Many facilities start with the document hub alone, and it is often paired with Flow Quality, whose audits ask for the licences, contracts and records the hub holds.

Yes. An outside signer receives a link and confirms it with a one-time code before signing, and the signature is kept with the document.

The facility chooses who receives expiry and revision reminders, and the document hub shows every document that is expiring soon or has expired.

Yes. When a document changes, the new file becomes current and the earlier one stays in its version history, with each review recorded.

No. Policies and procedures are part of Flow Quality, where each policy is reviewed and approved by named people. Flow Documents holds the facility's licences, contracts and other controlled documents.
