Front desk and payments

NextHealth Care

Included in every Care product

Check-in is where most visit problems start: an unchecked policy, a missing consent, a patient in the wrong queue. NextHealth Care closes those gaps with one guided checklist. Staff confirm identity against the record, confirm who pays, and present consent forms that patients sign on screen in their own language. The queue token is issued only when every required step is complete, so nothing reaches the clinic unfinished, and the live board follows each visit to checkout.

What it covers

  • Check-in, queue token, live waiting-room display
  • Co-payment, deductible and self-pay collection at the desk
  • Shift-based cash reconciliation and handover
  • Refunds with authorisation and reason
Why it is hard to do well

Nothing should reach the clinic room incomplete or unsigned

Patient check-in without paperwork or long queues

A family arrives ten minutes before their appointments. The receptionist opens each booking from the live board, confirms identity against the record and checks the insurance on file. The required consent forms open on a tablet in Arabic, the parents sign on screen, and queue tokens print for the nurse's call. Nobody reaches for a paper form.

Every step is guided and checked: a token cannot be issued while a required consent is unsigned or the payer is not confirmed, so incomplete check-ins do not slip through on busy mornings. Self-pay and insured visits each follow the right path automatically.

The live board shows every patient at every stage, from waiting to triage, consultation and checkout, so supervisors spot delays before patients complain. Co-payments are collected at the desk and each cashier's takings are reconciled by shift, giving finance figures it can trust from the first day. Training a new receptionist is quick, because every step is on screen.

How patient check-in works in NextHealth Care

A patient check-in system manages arrival, verification and queuing at the front desk. In NextHealth Care, check-in connects the booking, the patient record, consent management and the queue, so every visit starts complete.

  1. Mark the arrival. The receptionist marks the patient as arrived from the live front desk board.
  2. Verify identity. The identity document is compared with the patient record before the visit goes further.
  3. Confirm the payer. Insurance eligibility is confirmed, or the visit is recorded as self-pay, with any reporting category the regulator requires.
  4. Collect consents. Required forms open on a tablet or the patient's phone in their preferred language and are signed on screen.
  5. Issue the token. A queue token is printed or sent by SMS, the patient joins the nurse's queue, and the board follows the visit to checkout.

Questions we get asked

Front desk and payments is included in every Care product: Care Clinics, Care Clinics Pro and Care Hospitals.

A routine check-in with everything on file takes about a minute: confirm identity, confirm the payer and issue the token. Consents add only the time a patient needs to read and sign on screen.

Yes. Forms open on a tablet at the desk or on the patient's own phone by QR code, in their preferred language, and are signed on screen. The signed forms are filed to the record immediately.

The queue token is only issued once identity, payer and required consents are complete, so a missing step is caught at the desk rather than in the consultation room.

Yes. The live board shows each patient as waiting, checked in, with the nurse, with the doctor or at checkout, updated as the visit moves.

Co-payments and self-pay amounts are recorded against the cashier's shift, so each user's takings are reconciled and handed over per shift.
